Terms of Service
How we quote, take payment, proof, and stand behind the work. Last updated September 14, 2026.
These terms
These are the terms we work under when you order decorated apparel from The Piedmont Stitch House, a trade name of Action Graphix, LLC (registered office: 101 S Elm Street, Greensboro, NC 27401; the shop is based in Leasburg, NC). Approving a quote or paying a deposit means you accept them. If we have signed something separate with you, that document wins.
Quotes
A quote is based on the garment, quantity, decoration method, and number of locations you gave us. Change any of those and the price changes; we will requote before doing anything. Quotes hold for 30 days, except where a supplier raises a garment price or a style runs out, which happens and is outside our control. If that happens we will tell you and offer the nearest substitute for your approval.
Deposit and payment
We take a 50% deposit before production begins, and the balance is due on delivery.
Deposits are non-refundable. The deposit is what lets us buy your garments and digitize your artwork, and neither of those can be unbought once your order is under way.
Balances are due when you receive your order, not later. If a balance goes unpaid we may hold future work until it is settled.
Proofs and approval
For embroidery you get a stitch-out or a digital proof; for printing you get a digital proof showing artwork, size, and placement. Read it carefully, including the spelling of names, numbers, and dates.
Once you approve the proof, that is what gets made. If an approved proof contains an error, a re-run is a new order and is billable. We would rather find the mistake with you at the proof stage, so take the extra day if you need it.
Your artwork
By sending us artwork you confirm you have the right to have it reproduced. Logos, team marks, school names, and licensed characters usually belong to someone; if you are ordering on behalf of an organization, make sure whoever owns the mark knows about it. We will not knowingly reproduce a mark you do not have permission to use, and if a rights holder contacts us we will stop and refer them to you.
The digitized stitch file we create is kept on hand for your reorders, so the same mark does not have to be set up and charged again. Ask if you want a copy for your records.
Cancellation and changes
Tell us the moment something changes. Before we order garments or start decorating, a change is usually easy. Once garments have been ordered, you are responsible for their cost, and the deposit is not refundable. Once decorating has started, the order is yours: a decorated garment cannot be returned to a supplier or sold to anyone else.
Quantities and garments
Garment colors vary between mills, between fabric types, and between dye lots, and a screen printed or embroidered color will never match a Pantone chip exactly. If an exact color match matters, ask us for a swatch before we order.
Suppliers occasionally short or discontinue a style mid-order. If that happens we will contact you with options rather than substitute something quietly.
Garments you supply
We are glad to decorate garments you bring us, and we do it carefully, but a garment we did not buy is a garment we cannot replace from stock. If we damage one, we will replace it with a matching garment of our choosing and decorate the replacement at no charge. We do not reimburse the purchase price, sentimental value, or a garment that is out of production. Please send a spare or two with any run of supplied garments.
We also cannot guarantee results on a garment whose fabric content or finish is unknown to us, and some performance and water-repellent finishes do not take decoration well.
Turnaround and delivery
We give you a date when we quote, and it starts when we have your deposit and your approved proof, not when you first email us. If you have a hard deadline, tell us before you order and we will tell you honestly whether it is possible.
Shipping carrier delays and supplier backorders are outside our control. If something is going to be late, you will hear it from us before the due date rather than after it.
If something is wrong
Check your order when it arrives and tell us within 10 days if something is not right. If we made the mistake, we will fix it or remake the affected pieces at our cost; that is our responsibility and we do not argue about it. What we cannot do is remake an order to correct something you approved on the proof, or cover losses beyond the value of the order itself.
Abandoned orders
If an order is finished and we cannot reach you for 60 days, we may sell or dispose of the goods to recover what is owed. Deposits on abandoned orders are not refunded. We will make a real effort to reach you first, by phone, text, and email.
Governing law
These terms are governed by the laws of the State of North Carolina, and any dispute belongs in the courts of Guilford County, North Carolina. We would much rather sort it out over the phone.
